Prepare the PR plan
- Build a list of media outlets, visual assets, spokespeople, and campus partners.
- Draft the press release, media alert, and key messages before the launch window.
- Plan the PR strategy and timeline a few weeks in advance. Start with the media plan guide.
Get approvals
- Confirm the client is aware of the plan and aligned on timing.
- Route press releases through Chartwells Communications before sending externally.
- If another company or tech partner is involved, build in review time. Some partners may need up to 14 days.
Test the experience
- Make sure any technology connected to the launch is tested and functional.
- If helpful, invite a small group to test the experience and share feedback.
- Address reported issues before inviting media or creating launch content.

Capture the moment
Gather student and chef quotes
- Talk with students and chefs who experienced the new concept.
- Ask for quick reactions, useful testimonials, and any early success stories.
- Capture names, titles, campus/account details, and permission context as you collect quotes.
Gather photos and videos
- Document the innovation's features, benefits, and user experience.
- Capture wide shots, close food shots, signage, team action, and student interaction.
- Save assets where the team can access them for media follow-up and social content.

Follow up with media
- Reach out to relevant media outlets and reporters once you have proof the launch is working.
- Offer interviews, demos, product reviews, or campus access when the story has a strong local angle.
- Use the press release templates when a formal announcement or media-ready summary is needed.
Support the story online
- Create engaging, informative posts about the launch.
- Use launch visuals, student reactions, chef perspective, and results to make the story specific.
- Keep tracking coverage, comments, questions, and follow-up opportunities.
